How the Steel Kilt Media Festival handles personal information: submissions through FilmFreeway, the financial-aid form, judging, and your rights under Canadian privacy law.

The Steel Kilt Media Festival is a mixed-media festival and award for graphic novels, screenplays, comic book scripts and related work. We operate from Ontario, Canada.
This page explains what happens to personal information at steelkiltfest.com and in the course of entering the festival. It is written to meet the federal Personal Information Protection and Electronic Documents Act (PIPEDA), which applies to commercial activity in Ontario, and Canada’s Anti-Spam Legislation (CASL) for anything we send you.
What we collect
- When you visit this site. Nothing. There is no analytics on this site, no advertising, and no cookies are set by it.
- When you email or call us. If you write to media@steelkiltfest.com or ring +1 519 521 3135, we keep what you send so that we can answer it.
- When you apply for financial assistance. That form is a Google Form, and what you put in it is held by Google on our behalf. We use it to decide whether to issue a fee waiver code, and for nothing else.
Like every web server, ours records the address of each request, the browser making it and the time. Those logs keep the site working and secure.
Submissions happen on FilmFreeway, not here
Every entry to the festival is made through FilmFreeway (opens in a new tab). You create the account there, you upload your work there, and our judges read and score it there. We never take submissions by email or through this site.
That means FilmFreeway collects your personal information under its own privacy policy, not this one, and you should read theirs before entering. What reaches us through FilmFreeway is your entry, the details you chose to give it, and the scores our judges record against it.
Your work
The work you submit stays yours. By entering you grant us the rights set out in the rules — to exhibit and promote the submitted material at the festival, and, if your work is selected, the option of publishing it in our anthology under a separate agreement you would sign.
We ask entrants not to put their name or other identifying information on the submission itself, so that judging is blind.
Judging
Judges see submissions and enter scores on FilmFreeway and nowhere else. Judges agree to keep their involvement confidential. If you apply to join the selection committee, we keep what you tell us about your professional experience, preferences and availability for as long as we are considering you and, if you join, for as long as you are on the committee.
How we use it
To run the festival: to administer your entry, to reach you about it, to judge it, to announce and promote winners, and to decide on fee waivers. We do not sell, rent or trade personal information.
Winners are announced publicly and promoted by the festival and its partners — that is the point of an award — so if you win, your name and your work are made public.
How long we keep it
We keep entry records for as long as we need them to stand behind a result and to answer questions about a past edition. Email you send us is kept as long as it is useful, and then deleted. Financial-aid applications are kept for the edition they relate to.
Your rights
You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it. Write to media@steelkiltfest.com or call +1 519 521 3135 and we will answer.
For anything held by FilmFreeway, ask FilmFreeway — we cannot reach into their records on your behalf.
If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada (opens in a new tab), which oversees PIPEDA.

This policy may change; the date at the top says when it last did.
